Permissions

This section contains the list of permissions available for Stay:

Description

AddPantry

Allows users to view the Pantry screen and post charges through the pantry module.

Note: This is a licensed feature. Users will not be allowed to access this module even if the permission is assigned. Properties must contact Agilysys for more information. 

Navigation: Front Desk Pantry.

AddPaymentMethod

This permission is required for users to add a payment method to a reservation, profile, and group by clicking the + icon in the Payment Methods section.

AdminOffers

Allows users to apply non-casino admin or manager offers without CMS integration for the reservation. Users with this permission assigned can view and enable the Show All Offers checkbox in the Book a Reservation screen. 

AllowCredits

Allows users to add a credit to the folio.

AllowRefunds

Allows users to perform a refund in all folios.

allowRefundUsingDevice

Allows users users to refund payments made using a debit card.

AllowSyncReservation

Allows users to trigger a resend of reservations from Stay to any CRS.

ApplyOffer

Allows users to apply CMS offers in the Book a Reservation screen for days that are not included in the routing rule frequency. 

ArchiveProfile

Allows users to archive a guest profile.

AutoDeleteWaitlist

Allows users to view Auto-Delete Waitlist/Inquiry option in the Waitlist and Inquiry screen. Users with this permission can configure the auto-delete waitlist/inquiry feature in Stay.

BatchPostCharges

Users with this permission can post single or multiple charges to one or more reservations at a time by clicking the Post Charges option under the Batch Posting tab in the Batch Operations screen.

BatchPostCredits

Users with this permission can post single or multiple credits to one or more reservations at a time by clicking the Post Credits option under the Batch Posting tab in the Batch Operations screen.

BlockGuestProperty

This permission is required to block a guest profile at the property-level. That is, users can block a guest profile from the logged-in property by clicking the Block option in the Manage Profile Status screen.

BlockGuestTenant

This permission is required to block a guest profile at all properties within a tenant. That is, users can block a guest profile from all properties within a tenant by selecting Block and All Properties option in the Manage Profile Status screen.

BookMultipleRooms

Allows users to book multiple rooms at one single instance. Users with this permission can specify the number of rooms required to be booked with the exact guest details specified for each reservation in the Resv(s) field under Book a Reservation screen.

BookReservations

This permission is required for any user that will book reservations.

CancelReservations

This permission is required for any user that will cancel reservations.

CancelWithRefundDue

Allows users to cancel a reservation with a refund due.

CasinoManagement

Allows users to view and edit the details displayed in the Casino Management screen in Stay.

Navigation: Settings All Settings Accounting Casino Management

CheckinDirtyRoom

Allows users to check in a guest to a room that is not ready for check-in.

CheckinReservations

This permission is required for any user that will check-in or batch check-in reservations. Users with this permission can also undo check-in for a previously checked-in room.

CheckoutReservations

This permission is required for any user that will check out a reservation. Users with this permission can also undo a check-out and assign a new departure date for a previously checked-out room by clicking the Undo Check-Out option. 

CheckoutWithBalance

Allows users to check out a reservation with a balance remaining on the folio.  

CompAccounting

Users with this permission can view the Comp Accounting Configuration section in the Settings screen where users can set up comp accounting for the property and issue offers with or without a CMS integration.

ConfirmDirtyRoomAssign

Allows users to assign a room to a reservation with a housekeeping condition Dirty or any other condition that is not available for check-in such as Pickup, Vacant Clean.

CopyReservation

Allows users to copy an existing reservation and create a duplicate reservation at the property.

CreateCompanyProfiles

Allows users to create a company profile in Stay.
Note: Users cannot edit or modify an existing company profile with this permission.

Allows users to create a guest profile in Stay. 
Note: Users cannot edit or modify an existing guest profile with this permission.

CreateRRTemplate

Allows users to create a routing rule template in Stay.

CreateTravelAgentProfiles

Allows users to create a travel agent profile in Stay.

Note: Users cannot edit or modify a travel agent profile with this permission.

DateRoll

Allows users to access the Night Audit screen and perform a date roll in Stay. Users with this permission can also generate the legacy General Ledger report.

Allows users to view and access the Auto Date Roll tab in the Night Audit screen.

DateRollOverride

Allows users to manually perform a date roll, even if one was performed in the last 12 hours.

DecryptGuestIdentityInfo

Allows users to decrypt the guest identity information under the Guest Identity section in the Reservation Summary screen.

DeleteCompanyARDocument

Allows users to delete accounts receivable documents that are attached to a company profile.

Allows users to delete the documents that are attached to a company profile.

DeleteGroupDocument

Allows users to delete documents that are attached to a group.

  • Modify existing loyalty program details added to a guest profile. 

  • Modify or remove existing casino details from a guest profile.

However, user without this permission will continue to have the ability to add and save new loyalty program and casino details with read-only access.

Allows users to email the emergency reports generated by clicking the Email button.

Allows users to view the Age Groups tab in the Property Setup screen. Only users with this permission can enable the Age Categories feature setting.

Allows users to enable the Allow Authorization Rule flag under Credit Cards tab.

Allows users to view the Enable Comp Accounting under Comp Accounting Configuration settings.

ExecImportExport

Allows users to export/import the property file containing all setup data and import housekeeping services from the system to Stay. Users with this permission can import or export excel files from the following screens:

  • Property Import/Export screen (Settings All Settings General Property Import/Export). The property file contains all setup data.

  • Housekeeping Services Import screen (Settings All Settings General Housekeeping Services Import).

ForceChargeAcceptance

Allows users to force a charge on to the folio when the account is over the credit limit. This permission is also required for users to add a charge to a house account.

InventoryOOO

Allows users to create, edit, or print Out of Order (OOO) inventory blocks in the Inventory Blocks section of the following screens:

  • Housekeeping (Rooms Mgmt Housekeeping)

  • Tape Chart (Dashboard Tape Chart)

  • Create Maintenance Service Request (Rooms Mgmt Maintenance Request Service)

InventoryOnHold

Allows users to create, edit or print On Hold inventory blocks in the Inventory Blocks section of the following screens:

  • Housekeeping (Rooms Mgmt Housekeeping)

  • Tape Chart (Dashboard Tape Chart)

  • Create Maintenance Service Request (Rooms Mgmt Maintenance Request Service)

InventoryOTM

Allows users to place an inventory block on a room with the Off The Market status.

Navigation: Rooms Mgmt Housekeeping Inventory Block.

IssueComp

Allows users to issue a comp certificate for a user profile.

IssueDigitalKey

When Digital Keys are enabled for the property, this permission allows users to issue a digital key for a reservation.

ManageAgeGroups

Allows users to create and edit the Age Group under Property screen.

ManageDepartments

Users with this permission will be able to view and manage tasks for departments. When assigned, users can create and modify departments in the Departments tab in the Users and Departments screen. Departments tab will not be displayed for the users without this permission.

Allows users to create and modify events and announcements in Stay.

Allows users to access the feature settings in Stay.

ManageGuestIdentityInfo

Allows users to delete the guest identify information from profile.

ManageGuestSatisfaction

Allows users to access Guest Satisfaction Setup screen. Users with this permission can edit and modify the Guest Satisfaction screen and can also delete a guest satisfaction record.

ManageInvoiceDisputes

Allows users open, add, or clear invoice-related disputes in an A/R account.

ManageLoyaltyProgramGuestDetails

Allows users to modify guest information from the reservation screen and personal details and contact details from the guest profile screen of guests associated with any loyalty program. Users with this permission can modify the following sections in Stay:

Reservation screen

  • Guest Information

  • Address

  • Phone Numbers

  • Email Address

    Guest Profile screen

  • Personal Details

  • Contact section

  • Address

  • Phone Numbers

  • Email Address

ManagePropertyFormats

Allows users to modify the values of the following sections under the Language and Locale screen. 

  • Language

  • Currency

  • Date/time

Note: The Accounting Style flag in the Currency section will continue to be an editable field even if this permission is not assigned.

ManageTasks

The Tasks Management feature setting must be enabled for the property to use the Task Management setup. This permission will allow users to create or manage tasks from the Tasks screen.

  • Settings All Settings Administration Users and Departments (To create departments and associate users to departments)

ManageVehicles

The Vehicle Details feature setting must be enabled to use the Vehicle Setup. This permission will allow users to create or modify vehicle details of the guest from the Vehicle Details screen. Users can access this screen by clicking on the VHD badge from the reservation screen.

ManageWaitlist

When the Waitlist and Inquiry feature is enabled for the property, this permission will allow users to create or modify waitlists and inquiries of waitlisted guest from the Waitlist and Inquiry screen.

  • Reservations Waitlist and Inquiry   More (To configure reasons and the priority grade display order for the waitlists and inquiries table

ManualAnonymize

When the Data Retention Management feature is enabled for the property, this permission will allow users to manually trigger anonymization of a guest profile data based on the retention policies configured for the property in the Data Retention Management screen.

The Manual Anonymization option will be displayed in all guest profiles.

MergeProfile

This permission is required for any user that will merge guest profiles. Users with this permission can merge guest profiles by clicking the Merge hyperlink in the guest profile screen.

ModifyDoNotMoveRoom

Allows users to modify the Do Not Move Guest checkbox under Currently Selected Room section in the Reservation Summary screen.

ModifyThirdPartyPay

Allows users to change rate plan in third party/direct bill reservations.

MoveReservations

Allows users to move reservation between properties in the reservation summary screen.

OverbookHotelAvail

Allows users to overbook exceeding the limit set in Property Overbook Limit field in the Over Booking Control tab of the Restrictions screen.

OverbookRate

Allows users to overbook at a specific rate even when the selected rate plan is sold out or unavailable.

OverbookHotelAvailLimited

Allows users to overbook up to the limit set in the Property Overbook Limit field in the Over Booking Control tab in the Restrictions screen.

OverbookRateAllocations

Allows users to overbook reservations beyond the allocation limit set in the Enter Maximum Rooms Allocated field in the Edit Allocation Group Count screen.

When a group booking with non-group rate plan is selected and the room type is changed via bulk update, the allocation limit of the room type is checked. If the limit is not exceeded, the room type is updated successfully. If the limit is exceeded, the room type is not updated.

When users click the Override hyperlink, the Override pop-up screen appears that prompts users to authenticate their credentials. If the user has this permission, the room type is updated successfully upon retry.

Allows users to overbook a room type exceeding the limit set in Property Overbook Limit field under the Over Booking Control tab in the Restrictions screen.

Allows users to overbook a room type up to the limit set for a room type in the Property Overbook Limit field of the Over Booking Control tab in the Restrictions screen.

OverrideAutoRecurringChargeRule

Users with this permission can override the auto recurring charge rule associated with a reservation.

OverrideCancelPolicy

Users with this permission can override the cancellation policy applied to a reservation.

OverrideCCAuthRule

Allows users to override the credit card authorization rule.  Users with this permission can manually change the auth rule of a reservation at any time.

OverrideComp

When a third-party system returns an invalid comp certificate, users with this permission can override to accept the invalid comp certificate.

OverrideDepositAmount

Allows users to override the deposit amount specified by the deposit policy.

OverrideDepositPolicy

Allows users to remove the deposit policy for a given reservation.

OverrideGroupBlockAvail

Allows users to overbook rooms for groups beyond the group's blocked room limit set in the Setup section of the Room Blocks tab of the group.

OverrideInterfaceSettings

Allows users to override interface settings.

Users with this permission assigned can perform the following actions:

  • Override changes to nightly room rate.

  • Change room type on reservation without modifying the rates.

  • Override additional charge for adding additional guests to the reservation.

  • Upgrade rooms without modifying the room rates.

OverrideRestriction

Allows user to override and book a reservation against a rate plan with a restriction such as CTA (Closed To Arrival) or CTD (Closed To Departure) applied to a specific booking date on the calendar.  

OverrideRestrictedRates

Allows users to override the comp restrictions configured for a date and book reservations using comp rates received from Duetto.

OverrideScheduleDateRoll

Allows users to override the scheduled date roll time for a selected property date when auto date roll is enabled for the property. Users with this permission assigned can initiate a manual date roll outside the scheduled time by clicking the Roll the Date option under the Date Roll tab of the Night Audit screen.

Users with this permission can view tasks created or assigned to them and to other users from different departments from the Tasks screen. Tasks can be created in Stay when staff require assistance from other team members to perform an action.

Allows users to view the Property Segmentation - Setup section in the Properties tab under a tenant in Agilysys Platform.

Users with this permission can retrieve the user logs in Agilysys Platform.

Platform_WritePropertySegmentation

Allows users to create, modify, and delete the property segmentation setup in the Property Segmentation - Setup section in the Properties tab under a tenant in Agilysys Platform.

PreauthCreditCard

Allows properties to pre-authorize guests credit card for an individual reservation prior to check-in. Users with this permission can authorize an amount for a reservation by clicking the Authorized Amount hyperlink under the Payment Methods section in the reservation screen.

When a customer migrates from another PMS to Stay, this permission allows users to access the Profile & Reservations Import/Export screen so they can import their existing guest and reservation data into Stay.

Allows user to view the Accounts tab on the Search page. This permission allows users to view the house accounts created at the property.

Allows users to view and display Account Receivable information (invoices).

RestrictivePaymentMethods1

Allows users to set the payment method on the reservation as well as process payments using a payment method with cash class.

For example, if the property decides to apply a posting restriction by enabling the Restrictive Posting checkbox and select RestrictivePaymentMethods1, users with RestrictivePaymentMethods1 assigned will be allowed to post a cash payment. 

This restriction can be assigned in the New Payment Method screen only for payment methods with Cash set as payment class.

Allows users to set the payment method on the reservation as well as process payments using a payment method with cash class.

Users with this permission can only view the Batch Posting tab but cannot perform any operation or access any of the following links and buttons:

Allows a logged in user to make payments for A/R invoices created by the user and invoices that contains transferred charges.

Stay_AR_Unapplied_Payment

Allows users to make payments using the Make Payment option in the Unapplied Payments section of A/R accounts.

Stay_AutoSettlement

Allows users to create/modify the settlement rule in the Auto Settlement Rule tab in the Guest Accounting screen.

Stay_AutoSettlementReservation

Allows users to associate a settlement rule with a reservation from the Settlement Rule drop-down list in the Folios section of the account.

Stay_AutoSettlementGroup

Allows users to associate a settlement rule with groups from the Settlement Rule drop-down list in the Folios section of the account.

Stay_AutoSettlementHouseAccount

Allows users to associate a settlement rule with house accounts from the Settlement Rule drop-down list in the Folios section of the account.

Stay_BatchCancelGroupReservations

Allows users to batch cancel the reservations associated with a group. The Cancel option to cancel the reservations will be disabled for users without this permission.

Allows users to add/edit profile preferences at the tenant-level. When profile preferences are modified at the tenant-level, changes are applied to all properties under a tenant.

Allows users to create and edit the room move reasons across all properties under the tenant. 

WriteTravelAgentProfiles

Allows users to create and update profiles for travel agents. Users without this this permission, cannot create travel agent profiles and won’t be able to modify existing travel agent profiles.
