On The Books

The On the Books report allows users to view a list of room occupancy statistics. As a property manager, use this information to determine room usage patterns.

Users can include or exclude out-of-order rooms while calculating the Occupancy % by using the Exclude OOO Rooms checkbox in the On the Books report. This option is available only when using Dynamic Reports (Report Dynamic Report Revenue/Forecasting On the Books).

Perform the following steps to generate the report:

Navigate to Reports All Reports On The Books (under Revenue/Forecasting).

Select a date from the calendar to generate dates for the report.

Select Include Room Revenue Only option to add only the room revenue in the report.

Select Include All Revenue option to add all the revenue in the report.

Click Generate. The report with the selected data appears.

Click Print to send a copy of the report to the printer.

Report Parameters

This report displays the following parameters:

Field

Description

Date

The property date.

RMS Active

The total number of rooms that are active.

RMS Available

The total number of rooms configured at property that are not in status OOO or OTM. This should be rooms that are active as of the date - there is a date range of active to inactive on room setup which needs to be taken into consideration.

RMS Sold

The number of reservations that are group reservations for the date.

Group PU

The total count of rooms picked up for the group.

Group UNPU

Total Group Blocks where booking status == definite or tentative - Total Group Reservations

OCC %

The occupancy percentage is calculated as follows: Count of rooms occupied/Total available rooms.

Guests (A/C)

The number adults and children associated with each reservation.

ARR

The number of guests arriving on the date.

DEPT

The number of guests departing on the date.

OOO

The total amount of out-of-order rooms.

OTM

The total number of rooms that are Off the Market (OTM).

Hold

The total amount of rooms on hold for the selected date.

ADR

The average daily rate based on the amount of room revenue for the selected date and rooms committed.

REPAR

The total amount of revenue expected for each available room.

REV

The sum of room postings for the selected date.

Picked Up

The total number of rooms that are picked up (This is applicable only for dynamic reports).

Remaining

The total number of rooms that are remaining (This is applicable only for dynamic reports).

Click the question mark icon in the top right corner of the dynamic report section to view the necessary information relevant to the report.
