Enhancements in Displaying Charges, Deposits and Refunds in A/R Invoices and Statements

Stay combines the multiple occurrences of the same transaction item present in an A/R invoice as a single line item with the charges summed up and displayed against the line item in A/R invoices and statements.

As a part of this enhancement, the deposit amount transferred to the A/R invoice, refunds processed, and the payments made are displayed as separate line items with the A/R invoice date displayed instead of the due date in the A/R invoices and statements.

Displaying A/R Invoice Date in A/R Invoices

The date when the invoice was generated for the selected charges are displayed in the A/R invoice headers instead of the due date. The Due Date is replaced with Invoice Date in the A/R invoice headers.

Displaying Charges in A/R invoices and statements

When a same transaction item is posted to an A/R invoice from multiple sources (reservations/groups/other A/R accounts), the charges are summed up and displayed as a single item in the invoice.

For example, if the transaction item, Nightly Room Charge, is posted from a reservation for $100, and a group for $200, the charges are summed up and displayed as a single line item in the A/R invoice and statement as follows: Nightly Room Charge: $300. The details of the sources from which the charges were posted are not displayed.

The date for the combined transaction item is displayed as the date when the first transaction was performed. For example, if Nightly Room Charge was posted on 10th July 2023, 11th July 2023, and 12th July 2023, the date for the combined transaction item will be displayed as 10th July 2023.

Displaying Deposits in A/R invoices and statements

The deposits transferred to A/R invoices and the payments made for the invoices are displayed as a separate line item in the body of the invoice along with the payment type. For deposits and payments made using credit cards, the card name is displayed along with the last 4 digits of the card number (for example, Visa 0002).

When multiple deposits are transferred to an A/R invoice and when multiple partial payments are made, each deposit amount transferred, and payment made is displayed as a separate line item. The deposit/payment amount is displayed as a negative value in the Amount and the Charges columns.

Displaying Refunds in A/R invoices and statements

The refunds processed for an A/R invoice are displayed as a separate line item in the body of the invoice. When multiple refunds are processed, each refund is displayed as a separate line item. The amount refunded is displayed as a positive value in the Amount and the Charges columns in the invoices.

In the A/R statements, the Total Charges is calculated by deducting the amount paid from the charges posted and refunds processed.
