Bulk Update of Rates for Reservations and Groups

Stay is enhanced to allow users to perform a bulk update of nightly room rates for all reservations from the following screens:

  • Batch Operations ➜ Batch Edit tab

  • Groups ➜ Reservations tab ➜ Bulk Update

The room rate can be modified only for reservations in the Arriving and In-House statuses. Users can also modify rates in properties that use federated rates.

Feature Setting

The following new feature setting must be enabled to use this feature.

  • Name: Bulk Update Room Rate

  • Comments: License is not required

Permission

The following existing permission must be assigned to use this feature.

Bulk Update of Rates for Reservations

To modify the nightly room rate of non-group reservations in bulk, users must select the preferred reservations and click the More ➜ Update Room Rate option in the Batch Edit tab of the Batch Operations screen. When selected, the Update Room Rate pop-up screen appears that displays the following fields:

Apply Rates

This field displays the following options:

  • All Dates: When selected, the modified rate is applied to all dates of the selected reservations.

  • Specific Dates: When selected, the modified rate is applied to the selected dates within the first arrival and last departure dates of the selected reservations.

Room Rate

The rate to be applied to the selected reservations. Users can enter a value that is a maximum of 16 digits.

Override Reason

This is a single-select drop-down list that displays the rate override reasons configured at the property. This field is mandatory when the Rate Override Reasons feature setting is enabled.

Comments

This is an input field that allows users to enter comments for the update. Users can enter a maximum of 500 characters. This field is mandatory when the Rate Override Reasons feature setting is turned off.

Category

This is a mandatory field that is displayed when the entered rate is below the comp threshold. This is a single-select drop-down list that displays the comp categories configured at the property that do not require a certificate.

When users click Save, the following message is displayed as a banner in the Batch Operations screen: Bulk update of room rate is in progress. Click here for the status. When the Click here hyperlink is clicked, the Batch Update Process pop-up screen appears that displays a progress indicator that indicates the count of reservations processed.

Once all the selected reservations are processed, the following message is displayed as a banner: Bulk update of room rate is completed. Click here for details. X success, Y failed. Here, X denotes the number of reservations for which the rate was updated successfully, and Y denotes the number of reservations for which the rate update was not successful.

When users click the Click here hyperlink, the Results pop-up screen is displayed. A new tab, Room Rate, added to this screen displays the details of the reservations for which the rate update was successful and reservations for which the rate update failed.

Users can perform a retry of the rate update using the Retry option. Retry can be performed only for reservations for which the rate update failed due to disruption in the network. The Retry button is disabled by default. The button is enabled only when users select reservations from the Failed section.

Bulk Update of Rates for Group Reservations

To modify the nightly room rate of group reservations in bulk, users must select the preferred staged data and reservations in the Staging and Reservations section and click the Bulk Update option in the Reservations tab of the group. This option is displayed only when the Group Reservations - Bulk Update feature setting is enabled. When selected, the Bulk Update pop-up screen appears. A new flag, Override Room Rate, has been added to this screen. When enabled, the following fields mentioned are displayed:

  • Apply Rates

  • Room Rate

  • Override Reason

  • Comment

When users configure values for the fields and click Save, the following message is displayed as a banner: Bulk update of room rate is in progress. Click here for the status. When the Click here hyperlink is clicked, the Batch Update Process pop-up screen appears that displays a progress indicator that indicates the count of reservations processed.

Once all the selected reservations are processed, the following message is displayed as a banner: Bulk update of room rate is completed. Click here for details. X success, Y failed. Here, X denotes the number of reservations for which the rate was updated successfully, and Y denotes the number of reservations for which the rate update was not successful.

When users click the Click here hyperlink, the Results of Bulk Update pop-up screen is displayed. When users click the Results tab, the details of the reservations and staged data for which the rate update was successful and failed are displayed. Users can perform a retry of the rate update using the Retry option. Retry can be performed only for reservations for which the rate update failed due to a disruption in the network.

The override reason, comments entered, and the comp category selected when updating the room rate is captured in the Estimated Charges section of the reservation. For reservations booked with a comp offer applied, the room rate is overridden based on the rate applied in the bulk update process.

The updated room rate is tracked in the following reports:

  • Duplicate Reservations

A new column, Comp Category, has been added to the Rate Override Reasons report that displays the comp category selected when modifying the room rate below the comp threshold.

Logs

A record is created in the following areas when the room rate is modified in bulk.

  • Batch Operations Logs screen (Batch Operations ➜ Batch Operation Logs)

  • Audit Log screen (Reports ➜ Audit Log)

  • Reservation History section of reservations

  • Group History section of reservations

The following details are captured in the logs:

  • Username

  • Event date and time

  • Updated room rate

  • Override reason

  • Comments

  • Comp category

  • Status
