Age Group to Identify Additional Key Access Provided to Non-Guests

Stay is enhanced to allow users to provide key access to people who do not stay in the room of the guests. For example, guests staying in a room have hired a babysitter for a few hours and the guests would like the babysitter to directly collect the keys from the front desk. In such a scenario, the front desk agent will have the ability to capture the name of the visitor, known to the guests in the reservation when issuing the key, without being added to the reservation’s guest count.

To achieve this, users create an age category to identify the non-guests staying in a room and exclude them from the guest count. The age categories that are not included for guest count are not considered for the max guest count limit of the room and extra charges are not applied to them. This age category is then associated with the required reservations.

Users can also search for a reservation in the Search screen using the name of the visitor.

Feature Setting

  • Name: Age Categories

  • Value: Must be Enabled

  • Comments: License is not required.

To support this enhancement, the following changes have been made:

  • A new flag, Exclude for Pricing, is added to the New Age Group screen (Settings ➜ All Settings ➜ Property, Buildings & Outlets ➜ Age Groups), with the following message: Selecting this option will hide the category from price configuration in Rate plan, Package, Groups, etc. in the Include and Extra charge section.

    • When enabled, the age category will be hidden from the price configuration in Rate Plan, Package, Groups in the Include and Extra Charge sections.

  • When the Exclude for Pricing flag is enabled, the Include for Guest Count flag will be automatically disabled.

  • Enabling this flag will hide this age category from the pricing information in the following areas:

    • Rate Plan ➜ Included

    • Rate Plan ➜ Seasons ➜ Extra Charge

    • Package ➜ Included

    • Package ➜ Seasons ➜ Extra Charge

    • Package ➜ Fixed Components

    • Package ➜ Allowance Components

    • Package ➜ Single Person Surcharge

    • Addons ➜ Fixed Components

    • Addons ➜ Allowance Components

    • Group ➜ Room Blocks ➜ Included

    • Group ➜ Room Blocks ➜ Extra charge

    •  Group ➜ Components

    • Agilysys Book Channel Setting ➜ Items

  • When the Include for Guest Count flag is enabled, the Exclude for Pricing flag will be automatically disabled, and the pricing information will be displayed in the mentioned screens as per the existing functionality.

  • A new column, Exclude for Pricing, is added to the Age Groups tab and can be sorted.

  • If a user disables the Include for Guest Count flag for a category that is already a part of any package component, allowance component, add on or auto recurring fees, the following message is displayed: The age group cannot be made as non-guest, as it is associated with an active package, addons, or auto recurring fees.
