Cancellations/No Show

The Cancellations / No Show report allows users to view a list of canceled reservations based on arrival date or cancellation date. As a property manager, use this information to track the number of canceled reservations for the property. When a confirmation number or group is available, it’s linked to the reservation and opens in a separate tab when selected. It’s not available if it does not appear in the report. If a package rate plan is associated with the reservation, it appears on the report with a palm tree icon.

Perform the following steps to generate the report:

Navigate to Reports All Reports Front Desk Cancellations / No Show.

Select the date range from the calendar to generate dates for the report.

Choose which sort options to include in the report:

Field

Description

Sort by Guest Last Name

Sorts the report alphabetically by guest last name.

Sort by Room Number

Sorts the report alphanumerically by room number.

Sort by Room Rack Number

Sorts the report alphanumerically by rack number.

Sort by Group Name

Sorts the report alphanumerically by group name.

Sort by Company

Sorts the report alphabetically by company name.

Sort by Rate Plan

Sorts the report alphabetically by rate plan.

Sort by Arrival Date

Sorts the report alphabetically by arrival date.

Sort by Departure Date

Sorts the report alphabetically by departure date.

Choose which reservation statuses to be included in the report:

Select All

Includes all the reservation statuses in the report.

Cancellations

Includes all the cancelled reservations in the report.

No Shows

Includes all the no showed reservations in the report.

Click Generate. The report with the selected data appears.

Click Print to send a copy of the report to the printer.

A new drop-down list, View By, is introduced as a report generation parameter in the Cancellations/No Show Report (Dynamic) with the following options:

  • Cancellation date

  • Stay date

When a stay date is selected, the report will be generated based on the existing functionality. When cancellation date is selected, the report will be generated based on the following options selected by the user in the Status section:

  • When Canceled is selected, the reservations that were canceled between the selected date range will be displayed. For example, if the report is generated from 1 March 2023 to 5 March 2023, the reservations that were canceled between these dates should be displayed.

  • When No Show is selected, the reservations that were marked no show between the selected date range will be displayed. For example, if the report is generated from 1 March 2023 to 5 March 2023, the reservations that were marked no show between these dates should be displayed.

  • When both Canceled and No Show are selected, the reservations that were canceled and marked no show between the selected date range will be displayed. For example, if the report is generated from 1 March 2023 to 5 March 2023, the reservations that were canceled and marked no show between these dates should be displayed.

Report Parameters

The following three new sub-columns are added to the dynamic Cancellation/No Show report (Reports Dynamic Reports Guests/Reservations), under Deposit Details column:

  • Deposit Policy

  • Deposit Amount Collected

  • Account Balance

This report displays the following parameters:

Field

Description

Arrive

The arrival date of the reservation.

Depart

The departure date of the reservation.

Guest Name

The guest name on the reservation.

# Of Guests

The number of guests associated with each reservation.

VIP

The VIP status of the guest.

Company Name

The name of the company on the reservation.

CONF #

The confirmation number on the reservation.

Status

The reservation status that indicates whether the reservation is still in house, due to depart, or already departed.

Cancel Date

The cancellation date on the reservation.

Cancelled By

The ID used to cancel each reservation.

Reason

The reason why the guest cancelled the reservation.

Policy

The cancellation policy associated with the reservation.

Policy Overridden By

The name of the guest service agent who overrode the cancellation policy.

Rate Plan

The rate plan associated with the reservation. If multiple rate plans are associated with the reservation, the rate plan currently in effect appears on the report.

Room

The room number that the guest is staying in, if assigned.

Group

The group name on the reservation.

Booked Date

The date of booking.

Booked By

The user who made the reservation.
