Import Rooming List with IATA Values

Stay enforces the addition of an IATA number for the reservations booked from third-party systems. For example, when reservations are booked from ACRS, the IATA number associated with the reservations will be captured in Stay. The IATA number is also captured for the reservations booked using rate plans and packages in Stay.

When users download the template to import a rooming list for groups to created staged data, the travel agent name must be defined in the Travel Agent or IATA field present in the template. When a reservation is created using the staged data and if a non-group room type is selected, the system will select a rate plan from the priority order of rate plan defined. If the selected rate plan has the Require IATA Number flag enabled and if a travel agent name is not defined, the reservation will not be created successfully.

The Travel Agent or IATA column in the Staging section of the Reservations tab displays the travel agent profile selected for the reservation. This column displays data in the following format: <travel agent name – IATA number>. If the IATA number is not defined, only the travel agent name will be displayed. This column is not displayed by default. Users must select this column from the Manage Column Settings screen (Group ➜ Reservations ➜ Column Settings).

Feature Configuration

Navigate to All Settings ➜ General ➜ Properties, Buildings & Outlets ➜ Rates and select the Allow ‘Require IATA number’ configuration for rate plan/package checkbox.

Navigate to Settings ➜ Rates ➜ Rate Plans/Packages and enable the Require IATA Number flag in the Details section of rate plans.

This flag is displayed only when the Allow ‘Require IATA number’ configuration for rate plan/package checkbox is selected.

Navigate to Groups ➜ Reservations ➜ Staging ➜ Download Template.

Enter the travel agent name to be associated with the reservation in the Travel Agent or IATA field present in the template.

Navigate to Groups ➜ Reservations ➜ Staging ➜ Import Rooming List. The Import Rooming List pop-up screen appears.

Upload the template, validate the values entered for the fields, and click Save. The import will be completed successfully, and the travel agent profile selected for the reservation will be displayed in the Travel Agent or IATA column.
