Unapplied Payments

Agilysys Stay has been enhanced to allow a property to take payments in AR accounts (non-invoiced) and have it applied to one or more invoices. All payment methods are supported including cash and credit card. The AR Unapplied Payment Report tracks all unapplied payments that where applied along with the account information, amount, invoices it was applied to and the details of the date and user. This feature is behind a toggle and the feature setting can be enabled via API.

The following permission is required for this feature: arUnappliedPayments and is mapped to the System Administrator role.

The Unapplied Payments tab in the AR account of a Company’s profile. When an AR account has unapplied payments, the Use Unapplied Payments checkbox can be enabled, and payments can be made using the available unapplied payment. The tab also has the option to allow users to refund an unapplied payment. The following statuses of the unapplied payments are displayed:

  • Applied

  • Unapplied

  • Partially Applied

Click the filter icon to display unapplied payments based on the payment method selected.

The dollar amount that used to make a payment.

Status

The status of the payment made: Applied, Unapplied, or Partially Applied.

Navigate to Reservations à Profiles. The Search page opens with the Profiles tab selected.

Type the full or partial name of the Company in the Search box.

Click Go. The profiles that match the search query appear on the Profiles tab.

Select the profile to create an invoice.

Click the Accounts Receivable tab.

Scroll to the Unapplied Payments tab.

Click More.

Click Make Payment. The Make a Payment screen is displayed.

Select a Payment Type from the Select A Preferred Payment Method dropdown.

Enter the dollar amount in the Payment box.

Enter a reason for the payment.

Enter user credentials.

Click Make Payment. The payment gets added to the Unapplied Payments section.
