Ability to Update Housekeeping Conditions for Discrepant Rooms

Stay is enhanced to notify users of room discrepancies, when manually updating the housekeeping condition for a room. For example, when housekeeping staff tries to change the status of an occupied room to vacant one, they will be notified of the discrepancy. The discrepant room is indicated in red in the Inventory Status column of the Room Conditions screen under Room Management (Housekeeping).

The user can update the housekeeping condition for a discrepant room from any of the below screens:

  • Rooms Management Room Conditions

  • Rooms Management Request Service

  • Rooms Management Housekeeping Assign (both unassigned and assigned service requests)

  • Rooms Management Housekeeping Home Assigned Services

  • Rooms Management Inventory Blocks

  • Tape Chart

  • Reservation

  • Book Reservation (screen)

  • Reservations Search Rooms

  • During Check Out (Check Out Reservation modal)

To support this feature, three new permissions, StayUpdateVacantHousekeepingDiscrepancy, StayUpdateInHouseHousekeepingDiscrepancy, and StayUpdateDepartingHousekeepingDiscrepancy are introduced. These permissions are provided to the following roles:

  • System Administrator

  • Stay Hotel Manager

  • Department Manager

  • Stay Hotel Supervisor

  • Stay Housekeeping Supervisor

  • Housekeeping Supervisor

A new popup screen, Confirm Room Discrepancy, has been added, requesting users to confirm the change in housekeeping condition. The screen is displayed when a user with the required permissions tries to update the housekeeping condition for the discrepant room.

When the user clicks on Yes, the housekeeping condition for the selected room will be updated.

When a user without the required permission tries to change the housekeeping condition of a discrepant room, the Confirm Room Discrepancy screen will prompt the user to enter their credentials.

If the user is not authorized to perform the change, then the following message is displayed: Permission denied. Please contact your supervisor.

To support this enhancement, a new checkbox Alert Room Discrepancy, is added in Room Management Housekeeping Setup Conditions.

This checkbox is unselected by default. When enabled, only authorized users will be allowed to update the housekeeping condition for a discrepant room. When disabled, all users will be able to update the housekeeping condition for a discrepant room.

The housekeeping status updates are also captured in the Room Activity and Audit logs.
