Access General Areas Based on Rate Plan/Room Number

Stay is enhanced to allow guest access to general areas based on the rate plan and/or room number assigned to the reservation. Users can add, edit, and delete automated key access to general areas when the rate plan or room number is modified. Access to spaces at the property other than rooms are updated in the following conditions:

  • When the rate plan associated with a reservation is modified, the access areas are assigned based on the reservation’s rate plan at the time of check-in. The access areas will be updated based on the modified rate plan only when the room number assigned to the reservation is changed.

  • When the room number assigned to the reservation is changed but the rate plan remains the same, the access areas for the reservation will be updated automatically.

  • When the reservation’s rate plan is modified but the room number remains the same, the access areas will be updated for the reservation during the date roll.

  • When both the rate plan and the room number are modified, the access areas for the reservation will be updated automatically.

Sample Scenario

Consider a reservation booked from March 29, 2024, to April 2, 2024, where 29th, 30th, and 31st are booked using RACK rate plan and 1st and 2nd April are booked using BAR rate plan. For the RACK rate plan, with room number 100, the user will receive access to the Gym and for the BAR rate plan, with same room number, the user will receive access to the Pool. After the rate plan changes, the access area will be updated automatically during the date roll.

For physical keys, when the user accesses the reservation after the date roll the following message will be displayed: The physical key needs to be reissued as key access area(s) have been updated in the reservation. Users must issue a new physical key after the access area is modified.

For digital keys, a notification will be sent from Stay to the key vendor to update the key access.

  • When users configure a new key access rule that matches an existing reservation in the In-House status, the access areas will not be updated for the reservation automatically. After a reservation is checked in, users must manually update the key access rule.

  • The Access Area field in the Key section of reservations displays the general area names as configured in the Key Access Configuration tab of the Rooms Setup screen (Settings à All settings à General à Rooms & Room Types à Key Access Configuration).

  • Once the key access areas are updated for a reservation, a key creation request is sent from Stay to the key vendor with the updated access areas. After a response is received from the key vendor, HINT is notified by Stay with the updated key access areas.
