Convenience Fee for Credit Card Payment Methods

Stay is enhanced to calculate and display the convenience fee applicable for the selected credit payment method before the credit card is swiped/inserted in the following screens:

  • Reservation ➜ Folios ➜ More ➜ Make a Payment

  • Folio ➜ More ➜ Make a Payment ➜ Split Payment

  • Reservation ➜ Estimated Charges ➜ Collect Deposit Due

  • Book a Reservation screen ➜ Deposit

  • Book a Reservation screen ➜ Payment Method

Once the credit card payment method is selected, the convenience fee applicable for the payment method will be calculated and displayed. Users can proceed to insert/swipe their credit card and complete the payment.

Previously, when making a payment using a new credit card in the mentioned screens, users had to select the New Credit Card option from the Payment Method/Type drop-down lists. In this case, the convenience fee was calculated and displayed only after the credit card was inserted or swiped.

  • Value: Must be enabled

  • Comments: License is not required

Permission

The following permission must be assigned to allow users to override and modify the convenience fee charged and proceed with the payment.

  • Stay_CardConvenienceFeeOverride

Apply Convenience Fee

When making payments, the New Credit Card option in the Payment Method and Payment Type drop-down lists in the mentioned screens will be replaced by the issuer specific credit card types available at the property, such as, New Mastercard, New Visa, and so on.

Once the payment method is selected, the convenience fee applicable for the selected payment method will be calculated and displayed. Users can swipe/insert the credit card in the succeeding screens and complete the payment.

When the credit card used for payment does not match the payment method selected, the convenience fee configured for the selected payment method will be applied. For example, if the option, New Visa, is selected in the Payment Type drop-down list in the Make Payment screen but a Mastercard is used for payment, the convenience configured for Visa card will be applied.

Once the payment is completed successfully, the convenience fee is posted to the guest folio using the transaction item selected for posting the convenience fee. If the selected credit card payment method does not have a convenience fee percentage configured, the Convenience Fee column displays a hyphen (-).

Override Convenience Fee

The convenience fee amount is displayed as a hyperlink. Users with the Stay_CardConvenienceFeeOverride permission can override and modify the convenience fee amount by clicking on the displayed convenience fee.

When users click the hyperlink, the Override pop-up screen appears that allows users to override the convenience fee by a percentage or flat fee value.

When users click Submit, the credentials of the users are validated to check if the user has the required permission. If authentication is successful, the convenience fee is modified successfully. If the user does not have the required permission, the following message is displayed: You do not have sufficient permission to override convenience fees.
