Display Guest Names in Housekeeping Assignment Sheet

Stay is enhanced to display the first and last name of a guest along with the title when the housekeeping assignment sheet is printed for staff, teams, and boards. Previously, only the first letter of a guest’s last name was displayed.

Permissions

The following new permissions have been added as a part of this release.

  • Stay_ReadAssignmentsConfig

Users with this permission can view the Assignments tab and its options in the Configurations section of the Housekeeping Setup screen.

  • Stay_WriteAssignmentsConfig

Users with this permission can view and modify the options available in the Assignments tab.

The Stay_ReadAssignmentsConfig permission is assigned to the following roles by default:

  • System Administrator

  • Stay Hotel Manager 

  • Department Manager

  • Stay Front Desk

  • Stay Hotel Supervisor

  • GSA Supervisor

  • Stay Housekeeping Supervisor

  • HK Supervisor

The Stay_WriteAssignmentsConfig permission is assigned to the following roles by default:

  • System Administrator

  • Stay Hotel Manager 

  • Department Manager

  • Stay Hotel Supervisor

  • GSA Supervisor

  • Stay Housekeeping Supervisor

  • HK Supervisor

Assignments Tab

To support this enhancement, a new tab, Assignments, has been added to the Configurations section of the Housekeeping Setup screen (Settings Housekeeping Config). This tab displays the following options:

  • Display Staff Last Name as Initials on Reports

  • Include Guest Name on Assignment

The Display Last Name as Initials on Reports checkbox in the Staff section of the Housekeeping Setup screen has been removed, renamed, and added as the Display Staff Last Name as Initials on Reports flag in the Configurations section. When enabled, the last name of staff is displayed as initials in the housekeeping assignment sheet as per the existing functionality.

When the Include Guest Name on Assignment flag is enabled, the complete first and last name of the guest along with the title is displayed in the housekeeping assignment sheet.

Assigned Services Section

A new column, Guest Name, has been added to the Assigned Services section of the Housekeeping screen (Rooms Mgmt Housekeeping Print). This column is displayed for both the Group By options, Staff and Teams, and Boards.

  • When the Include Guest Name on Assignment flag is enabled, the complete first and last name of the guest associated with a room for which a service request is raised is displayed in this column along with the title.

  • When the flag is disabled, this column is not displayed.

For shared reservations, the primary guest associated with the shared reservation is displayed. For example, for a 4-day reservation, Guest A is considered the primary guest for the first two days and Guest B is considered the primary guest for days 3 and 4. In this case, names of both primary guests are displayed in the Guest Name column. If in case Guest A has checked out after the first two days, only Guest B is displayed.

For reservations marked as NRG, when the Reservation Alias option is selected, the alias name is displayed in the Guest Name column. When the Mask Name option is selected, the guest’s name is masked by an asterisk. When a title is selected for a profile, the title is displayed along with the name.

For service requests that are not associated with reservations, the Guest Name column is left blank.

The guest name is also displayed when the assignment sheet is printed.
