Display Package Rates in Reservations

Stay is enhanced to display the rates of the package components including add-ons, fixed, and allowance components, added to a package rate plan, in the Estimated Charges section of the reservations booked using the package.

Feature Setting

The following new feature setting must be enabled to use this feature.

Name: Pricing Inclusion for Package Components
Comments: License is not required

When users access the Estimated Charges section of a package reservation, the add-ons and components included in the package are displayed within an accordion located next to the package name. The pricing type is displayed beside each component of the package.

The component rates are applied to the reservation based on the frequency, applicable for, quantity, and rate defined in the package. Users can modify the rates of the components when required. The package rate is recalculated when the component rates are modified or when the components are removed. The add-ons with included components cannot be deleted. The restrictions for the components can be overridden from the Estimated Charges section.

Calculation of Deposit Amount

When calculating the deposit amount for the reservation, the entire rate of the package rate plan which includes the following are considered:

Room rate
Rate of excluded components
Rate of included components

The Deposit Policy checkbox for the item must be selected in the Guest Accounting screen (Settings ➜ Guest Accounting ➜ Items ➜ Transaction/Inventory Items) to be considered for the deposit amount calculation.

Sample Scenario

Consider the following configurations of a package rate plan:

Package rate = $400.00
Room rate = $320.00
Dinner (Included) = $40.00
Breakfast (Included) = $40.00

The following table lists the calculation of the deposit amount for the different Charge By options available for a deposit policy:

Calculation of No Show Fee

When calculating the no show fee for the reservation, the entire rate of the package rate plan which includes the following are considered:

Room rate
Rate of excluded components
Rate of included components

Calculation of Cancellation Fee

When calculating the cancellation fee for the reservation, the entire rate of the package rate plan which includes the following are considered:

Calculation of Early Departure Fee

Display Add-On Components in Reservations

Add-On Badge

The count of the Add-Ons added as part of the package are displayed on the Add-On badge displayed in the Estimated Charges section of the reservation. Add-Ons with both included and excluded components are considered in this count. The type of component (Included/Excluded) is displayed beside each component.

Estimated Charges

When users access the Estimated Charges section of a reservation, the following details are displayed:

Details	Description
Package Rate Plan	The total rate of the package is displayed along with an accordion and package icon. Users must expand the accordion to view the room rate and the rate of the components.
Room Details	Users can view details of the room type and the charges associated with the room type. The room rate is calculated as follows: Room Rate = Base package rate – Included Components. When users update the room rate or the component rate from the Estimated Charges section, the total rate of the package will be updated accordingly.
Components Details	Details of the fixed, allowance components, and add-ons added to the package are displayed. The pricing type (Included/Excluded) is displayed beside each component. The add-ons with included components and the fixed/allowance included components added to the package cannot be removed. Only the excluded components can be removed. When an excluded component is removed, the package rate is recalculated.

Package Rate Plan

The total rate of the package is displayed along with an accordion and package icon. Users must expand the accordion to view the room rate and the rate of the components.

Room Details

Users can view details of the room type and the charges associated with the room type.

The room rate is calculated as follows:

Room Rate = Base package rate – Included Components. When users update the room rate or the component rate from the Estimated Charges section, the total rate of the package will be updated accordingly.

Components Details

Details of the fixed, allowance components, and add-ons added to the package are displayed. The pricing type (Included/Excluded) is displayed beside each component. The add-ons with included components and the fixed/allowance included components added to the package cannot be removed. Only the excluded components can be removed. When an excluded component is removed, the package rate is recalculated.

Users can override the Inventory Unavailable restriction for the package components from the Estimated Charges section. An Override option is displayed for the user to authorize the restrictions. Users with the necessary permissions can authorize the restrictions.

Modify Rates in Estimated Charges Section

When users adjust the room rate of the reservation from the Estimated Charges section, the total rate of the package is updated accordingly.

Sample Scenario

Consider the following configurations of a package rate plan:

Package rate = $150.00
Room rate = $50.00
Dinner (Included) = $50.00
Breakfast (Included) = $50.00

When the room rate is adjusted from $50 to $20, the total rate of the package is recalculated as follows:

Package rate = $120.00
Room rate = $20.00

Only the package and room rates are updated. The rates of the components remain unchanged.

Modify Rates of Components

When the rates of the components (included/excluded) are modified in the Estimated Charges section, the rate of the package increases or decreases based on the adjustment made.

Sample Scenario

Consider the following configurations of a package rate plan:

Package rate = $150.00
Room rate = $50.00
Dinner (Included) = $50.00
Breakfast (Included) = $50.00

When the rate of the included component is modified as $30, the rates are adjusted as follows:

Package rate = $120.00
Room rate = $50.00
Dinner (Included) = $30.00
Breakfast (Included) = $50.00

Users can only modify the rates of the components and not the quantity.

Calculate Tax for Components

Tax is calculated for the room rate and component rate of the package.

Sample Scenario

Consider the following configurations of a package rate plan:

Package rate = $150.00
Dinner (Included) = $40.00
Breakfast (Included) = $40.00

When exclusive tax is configured for the components, the rates are calculated as follows:

Routing Rule

Routing rules associated with a reservation must be applied to both the room rate and components of the package. Charges are routed to the source destination as defined in the routing rule. The room rate and component rates are displayed in the Guest/Routed tabs of the Estimated Charges section of the reservations.

Room Upgrades

Rates of room upgrades performed must be applied to the room rate of the package and the package rate is recalculated accordingly. For example, when a reservation booked using a Queen room type at $150 is upgraded to King at $200, then $200 is applied to the room rate and the package rate is updated accordingly.

Modify Reservation

When a reservation is modified, the total rate of the package which includes the following is displayed in the Modify Stay screen:

Room rate
Rate of excluded components
Rate of included components

The package rate is recalculated in the Estimated Charges section based on the modifications made.

Copy Reservation

When a package reservation is copied, the room rate of the package and the package components are copied to the new reservation.

Group Reservation

When a group reservation is booked using a package rate plan, all the package components are added along with the group add-ons.
