Generate Charge Posting ID for Account Folios
Stay is enhanced to generate a unique numeric ID for each folio of an account (reservations, groups, and house accounts) that is used to post charges to the account from a POS system. This ID is referred to as the Charge Posting ID. For reservations, the Charge Posting ID will be generated only for the guest folios and not for the Comp, Package, and Third-Party folios. The Charge Posting ID will be displayed when the guest folios of accounts are emailed and printed.
To support this enhancement, a new checkbox, Display Charge Posting ID, has been added to the Folio Summary section in the Folio Defaults tab of the Guest Accounting screen (Settings à Guest Accounting à Folio Defaults à Folio Summary). When this checkbox is selected, a unique 9-digit numeric ID will be generated for the folios of following accounts:
-
House Accounts: Accounts in the Open status.
-
Reservations: Reservations in the Reserved, In-House, and Departing statuses.
-
Groups: Groups in the Reserved, In-House, and Departing statuses.
The ID generated for the departed groups and reservations will be recycled and reused when the count reaches 9999999. When a folio is deleted for an account, the order of sequence will not change.
As part of this enhancement, the number of folios that can be generated for an account has been restricted to 50. The Add (+) button in the Folios section of the accounts will be disabled once the folio count reaches 50. The folios created as part of routing rules associated with the accounts will generate a Charge Posting ID in a sequential manner.
To post charges to an account folio from a POS system, users must use the Charge Posting ID of the folio to which the charge must be posted. Based on the ID used, the charges will be posted to the respective folio.
